How do I prepare for my on-site photoshoot with Jaffy Media?

In this article you will find direction on how to effectively prepare for your high-quality practice photoshoot. You will also find Jaffy Media's cancellation, rescheduling & edit guidelines.

How to Prepare For Your Photoshoot:

  1. Attire
    1. Be sure to bring any lab coats, scrubs, and/or professional attire for the doctor(s) and the team.
  2. Staging
    1. Remove all clutter and holiday or themed items from the office (these photos should be usable year-round)

  3. Have a backup plan
    1. The weather can be unpredictable, make sure that if you’re taking shots outside that you check the weather beforehand and plan a second location, if necessary.

Doctor(s) Photos:

  • Headshot of the doctor(s) in a natural setting inside or outside the office
  • Doctor(s) holding awards, or sitting/standing in front of awards or desk area
  • Funny/Candid Pose (i.e. laughing, holding a prop, jumping, high-five, holding a toothbrush, etc.)
  • If there are multiple doctors, photos of the doctors altogether and of the doctors interacting with each other.

Note: It’s always best if you have scrubs with your name/practice logo.

Photos of Team Members

  • Photos of team members at a time together. (i.e. All Dental Assistants, All Hygienists, Front Office Staff, etc.)
  • A photo of the whole team without the doctors
  • A photo of the whole team with the doctors
  • Candid laughing photos of the entire team
  • Product photos (i.e. Holding veneers, holding clear aligners, x-rays, etc.)

Note: Have fun! These images are mostly used throughout service pages, so make sure you include products and props to make it more exciting!

Fun & Interactive Photos

  • Dr. interacting with a patient (i.e. Talking, doc pointing at x-rays, tv, or explaining to the patient)
  • Doctor with a child - where applicable (i.e. Smiling, putting stickers on a kid, helping a kid to brush animal’s teeth, kid picking out a toy)
  • Team Photos (i.e. Fun, Jumping, Themed, Confetti, Games, etc.)
  • Doctor Interacting with a team member (i.e. Give them a high-five!, explain the X-rays, charts, etc.)

Note: Avoid showing tools or sharp objects as this is related to fear.

Interior/Exterior Photos

  • Office Exterior - (front door, windows, full exterior building, parking, etc.)
  • Lobby/Waiting Area - (chairs, front desk area, children’s area, view from chairs, etc.)
  • Operatory (chairs, view from chair, TVs, monitors, hallways, etc.)
  • Office Amenities (If Any) - (i.e. coffee station, beverages, magazines, TVs, children’s area, technologies, etc.)
  • Patient Enjoying Amenities (i.e. Drinking coffee, headphones, blankets, pillow, children’s play area, etc.)

Note: Make sure TVs are turned on, declutter all areas, remove holiday-themed decorations, and show parking availability (do not have staff park close)

Cancellation/Rescheduling Guidelines:

  • Cancellations or rescheduling requests made less than the 5-day window will result in a USD$300 fee. 

Note: Advance notice is appreciated to accommodate the talents who may need to travel to the shoot location.

Client Feedback and Revisions:

  • After the content is delivered to the you, you have a 15-day window to request any changes for photos. Jaffy Media offers one (1) free round of revisions during this 15-day period.
  • After the first free revision, you will be charged for each subsequent round of revisions.
Revision Charges:
  • Revision 1 (Free Revision within the 15-day window): $100
  • Revision 2: $150
  • Revision 3: $200
  • Revision 4 and onwards: $300 per revision
If you request revisions or edits after the 15-day window has passed, you will be charged for each round of revisions, including the first one.

Note: We encourage you to provide clear and comprehensive feedback during the revision process to expedite the editing timeline and ensure the final deliverables meet your expectations.
