How do I prepare for my on-site photoshoot with Dental Marketing?

In this article you will find direction on how to effectively prepare for your high-quality practice photoshoot. You will also find our cancellation, rescheduling & edit guidelines.

How to Prepare For Your Photoshoot:

Before the shoot

  • Please set aside 3–4 uninterrupted hours for the shoot. This is our recommended booking window to get the best results. If you prefer to keep patient appointments, we can shoot while patients are being seen, but for optimal results, we recommend an uninterrupted block of time.

  • You can include staff, friends, or family as patients for the interactive pictures.

  • Photographers/videographers typically reserve the whole day for your session, especially when travel is involved. Please remember to let us know any changes or cancellations within the 5-day window to avoid additional charges.
  • Encourage haircuts/light makeup before the shoot so everyone looks polished.
  • Have everyone write their name and job title on a blank card to hand to the photographer for accurate labeling.

1. Attire

  • Doctors: Bring lab coats, scrubs, and/or professional attire.
  • Team: Coordinated scrubs or branded shirts are encouraged.

2. Staging
  • Ensure your office is clean and free of clutter.

  • Remove any seasonal or holiday décor (photos should be usable year-round).

  • Tidy up and rearrange anything that shouldn’t appear in the shoot.

  • If you plan exterior shots, check the weather beforehand and have a backup indoor location ready.


3. Group & Team Photos
  • Plan a convenient time for team group pictures.

Doctor(s) Photos:

  • Natural headshot (inside or outside the office).

  • Doctor(s) with awards or recognitions.

  • Fun/candid shots (laughing, high-five, holding props, etc.).

  • If multiple doctors: group and interactive photos together.

Note: It’s always best if you have scrubs with your name/practice logo.

Photos of Team Members

  • Group photos by role (assistants, hygienists, front office, etc.).

  • Whole team with and without doctors.

  • Candid/laughing photos to show culture.

  • Props encouraged (aligners, veneers, x-rays, etc.).

Note: Have fun! These images are mostly used throughout service pages, so make sure you include products and props to make it more exciting!

Fun & Interactive Photos

  • Doctor interacting with patients (explaining x-rays, consulting, etc.).

  • Doctor with a child (where applicable).

  • Team bonding moments (confetti, themed shoots, etc.).

  • Doctor and staff high-fives, teamwork shots, etc.
    (Avoid showing sharp instruments to reduce patient anxiety.)

Note: Avoid showing tools or sharp objects as this is related to fear.

Interior/Exterior Photos

  • Office exterior (building, signage, parking).

  • Lobby/waiting area (front desk, children’s area, seating).

  • Operatories (chairs, TVs, hallways).

  • Amenities (coffee station, tech features, kids’ play area, blankets, etc.).

  • Patients enjoying amenities (coffee, headphones, reading, etc.).
    (Tip: Turn TVs on, keep all spaces decluttered, and avoid staff parking near the entrance.)

Note: Make sure TVs are turned on, declutter all areas, remove holiday-themed decorations, and show parking availability (do not have staff park close)

Key to a Great Shoot!

  • Fun! Smiling, laughing, and enjoying the moment.
  • Showcase your unique practice culture and let your team’s personality shine.

Cancellation/Rescheduling Guidelines:

  • Cancellations or rescheduling requests made less than 5 business days before the shoot will result in a USD $300 fee.

  • We greatly appreciate advance notice. Please keep in mind that our photographers and videographers save their entire day to your shoot, particularly when travel is involved.

Note: Advance notice is appreciated to accommodate the talents who may need to travel to the shoot location.

Client Feedback and Revisions:

  • After delivery, you have 15 days to request changes to your photos.
  • Dental Marketing offers one free round of revisions within this window.

Additional revisions are billed as follows:

      • Revision 2: $150

      • Revision 3: $200

      • Revision 4+: $300 per round

      Requests made after 15 days are billable from the first round.

Note: We encourage you to provide clear and comprehensive feedback during the revision process to expedite the editing timeline and ensure the final deliverables meet your expectations.
